Job Description

Spectrum Healthcare Resources has an opportunity for a  Secretary at their corporate office in St. Louis, Missouri.  The primary responsibilities include:

 

  • Acts as a central office liaison for remote staff
  • Maintains and updates online calendars for meetings, report deadlines, and travel
  • Provides high volume telephone coverage by answering and directing callers for the organization’s corporate office staff
  • Coordinates travel arrangements; prepares and tracks expense reports for the supported staff
  • Creates and maintains a variety of tracking reports by gathering information, verifying accuracy of content, and ensuring deadlines are met
  • Routes, logs, and maintains files of executed employment and facility agreements, as needed and assigned
  • Routes, logs, and maintains pay adjustment and manual check request forms
  • Checks, renames files, distributes, and organizes fax files on the assigned fax servers
  • Creates, routes, and follow up on expense reports for corporate staff and site employees
  • Assists with field staff payroll by collecting and forwarding timesheets to the Payroll Department, distributing checks and following up on any necessary corrections or adjustments, as needed and assigned
  • Opens and distributes correspondence, as well as periodically preparing and editing correspondence, to include, but not limited to, mail, FedEx, and UPS shipments
  • Performs any additional tasks, as needed and assigned

 

Job Requirements:

The Position will have the following requirements:

 

  • High school graduate or possess a GED certificate
  • Possess at least three to five (3-5) years of administrative/secretarial experience
  • Proficiency in various computer applications, e.g. word processing, excel spreadsheet, e-mail, database management and presentation software
  • Possess excellent interpersonal and communication skills
  • Must be able to prioritize multiple responsibilities and manage a large workload within tight deadlines
  • Must be able to exercise independent judgment
  • Ability to handle stress
  • Ability to handle confidential data
  • Ability to adapt to change
  • Excellent problem-solving skills
  • Excellent communication skills (verbal and written, with an emphasis in grammar)
  • Strong commitment to customer service
  • Must be procedure and detail oriented, utilize excellent follow up skills, and strive for 100% accuracy
  • Superior organizational skills
  • Familiarity with modern office equipment, e.g. facsimile, copier, etc.
