Job Description

Spectrum Healthcare Resources has an opportunity for a full-time Deputy Clinic Administrator at the Ft. Belvoir Family Health Center in Fairfax, VA. We provide out-patient medical services for military family members (TRICARE eligible patients) in association with Alexander T. Augusta Medical Center (ATAMMC) at Fort Belvoir, VA.

 

The Deputy Clinic Administrator (Deputy) assists the Clinic Administrator (Administrator) in managing the day-to-day business operations of a complex and fast-paced outpatient multi-disciplinary practice.  He/she manages and assists with a wide variety of duties and responsibilities to support overall business wellness and ensure contract success and viability of the clinic.  The Deputy helps ensure the clinic is providing patient care and customer service support that aligns with the mission and values of ATAMMC. 

 

Essential Functions:Ind.Other

  • Consults, advises, and assists the Administrator in providing leadership and direction.
  • Serves as the Acting Administrator during periods of Clinic Administrator’s absence.
  • Serves as HR support and representation during interviews and employee disciplinary meetings. Listens to employee and patient concerns and initiates actions to find resolutions.
  • Works closely with Facility Manager to ensure safety and security of the facility.
  • Prepares for Environment of Care Assistance Team (ECAT) and Joint Commission inspections ensuring compliance and safety guidelines are followed.
  • Reviews and interprets departments SOPs. Ensures the clinic is providing quality patient care and customer service that aligns with the mission and value of ATAMMC.
  • Serves as the contractor’s liaison to the government’s Alternate Contracting Officer Representative (ACOR).
  • Assists the ACOR with medical equipment inventory and tracking. Initiates replacement of unrepairable medical equipment and provides clinical justification for government procurement of new items.
  • Reviews medical equipment service contracts and field service reports (FSR) to schedule maintenance services and repairs with Sterling Surgical Bio Med/BMET team.
  • Plans for the efficient utilization of clinic resources. Oversees Supply ordering functions while monitoring clinic PAR levels and budget.
  • Oversees clinic scheduling and Patient Appointment Center. Provides consultative guidance and oversight of provider templates and booking protocols.
  • Responsible for overseeing staff duties and delegation of tasks. Serves as the Direct Report for the following Departments: Medical Records, Coding, Appointment Center, Supply, Case Manager’s, and Patient Advocate.
  • Works closely with Administrator and Marketing department to ensure clinic changes and updates are communicated to patients. Includes updating PowerPoints and Secure Messaging.
  • Responsible for assisting employees with out-processing. Provides HR and contract administrator with appropriate documentation for changes in staffing positions.
  • Compiles reports. Analyzes data and compares against the contract requirements.
  • And any other duties needed to help ensure contract success and viability of the clinic.

 

Job Qualifications:

  • Bachelor’s Degree in Business, Healthcare Administration, or similar field required.
  • A minimum of 3 years of professional experience in a clinic or medical practice setting required, 5 years preferred.
  • Priory military medical experience is not required but preferred.
  • Must have experience managing in a direct report capacity
  • Must have operations management experience dealing with employees at all levels of the organization. 

 

Knowledge, Skills and Abilities:

  • Knowledge of general clinical or medical practice management and processes
  • Knowledge of administration, operations and general business practices
  • Knowledge of basic/intermediate level medical terminology
  • Intermediate/Advanced computer skills including Microsoft Office Suite (Word, Excel, PowerPoint and Outlook), web-based applications and internet research
  • Strong verbal/written communication and listening skills; including excellent interpersonal skills and telephone communication
  • Ability to work in a fast-paced environment
  • Position may require long hours during critical deadlines
  • Excellent leadership skills and the ability to work well within a team
  • Excellent attention to detail, organizational and time management skills
  • Ability to be proactive, use initiative and demonstrate innovation and creativity
  • Ability to establish and maintain effective working relationships with patients, clinical staff, and co-workers
  • Ability to manage multiple priorities simultaneously

  • Ability to communicate effectively to all organizational levels utilizing clear and comprehensive written and oral communication
  • Able to work shifts ranging from 7am – 8pm M-F and 7am – 2pm Sat
  • To be available on-call
